Your privacy matters. This policy explains what data UniHNH collects, why we collect it, and how we protect it. Please read it carefully.

Data Security

This Privacy Policy applies to all users of the UniHNH platform, including students and landlords, whether accessed via web or mobile. By creating an account or using UniHNH, you agree to the collection and use of your data as described in this policy.

1. Information We Collect

1.1 Information You Provide

When you create an account, we collect your name, email address, phone number, and university affiliation. If you are a landlord, we also collect property details, identification documents, and banking information for payment processing. When you send messages or complete your profile, that information is stored securely.

1.2 Information Collected Automatically

We automatically collect certain technical data when you use our platform: your IP address, browser type, device identifiers, pages visited, click patterns, and session duration. This data helps us understand how UniHNH is used and where we can improve the experience.

1.3 Payment Information

Payment transactions are processed by Paystack, a PCI-DSS compliant third-party processor. UniHNH does not store card numbers or Mobile Money PINs on our servers. We only receive transaction confirmations and metadata.

2. How We Use Your Information

We use the information we collect to operate and improve the UniHNH platform. Specifically, we use it to: verify your identity and authenticate your account; connect students with landlords and facilitate bookings; match students with compatible roommates; process payments and send receipts; send transactional emails and push notifications relevant to your activity; detect and prevent fraud, abuse, or violations of our Terms of Service; and comply with applicable laws and regulatory requirements in Ghana.

3. Sharing Your Information

With Landlords

When you express interest in a property or book a visit, your name, email, and contact information are shared with the relevant landlord to facilitate communication.

With Service Providers

We share data with trusted service providers who help us operate the platform, including Paystack (payments), Cloudinary (image hosting), Google (analytics and authentication), and cloud hosting providers. These parties are contractually obligated to process data only as directed by UniHNH.

Legal Requirements

We may disclose your data if required by law, court order, or if we believe disclosure is necessary to protect the rights, property, or safety of UniHNH, our users, or the public.

Business Transfers

In the event of a merger, acquisition, or sale of all or part of our assets, your data may be transferred as part of that transaction. We will notify you before your data is transferred and becomes subject to a different privacy policy.

4. Data Retention

We retain your personal data for as long as your account is active or as needed to provide you with our services. If you deactivate your account, we will delete or anonymise your personal data within 90 days, except where we are required by law to retain certain records. Message history, payment receipts, and transaction logs may be retained for up to 7 years for accounting and legal compliance purposes.

5. Your Rights

You have the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your personal data (subject to legal obligations), object to or restrict certain types of processing, and withdraw your consent where processing is based on consent. To exercise any of these rights, contact our Privacy Team at privacy@UniHNH.com. We will respond within 30 days.

6. Cookies & Tracking

UniHNH uses cookies to maintain your session, remember your theme preference, and understand how the platform is used through analytics. You can manage or disable non-essential cookies through your browser settings. Essential cookies required for the platform to function cannot be disabled without affecting functionality. We do not use cookies for targeted advertising.

7. Data Security

We implement industry-standard security measures to protect your data, including encrypted data transmission (HTTPS/TLS), hashed password storage, role-based access controls on our backend, and regular security reviews. However, no method of transmission over the internet is 100% secure. In the unlikely event of a data breach affecting your rights and freedoms, we will notify you and the relevant authority within 72 hours of becoming aware.

8. Children's Privacy

UniHNH is designed for university students and is not directed at children under the age of 16. We do not knowingly collect personal data from anyone under 16. If you believe a minor has provided us with personal data, please contact us and we will promptly delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by posting a prominent notice on the platform before the changes take effect. Your continued use of UniHNH after the effective date constitutes your acceptance of the updated policy.
